Privacy Policy

This policy explains what information the Pilbo mobile app ("Pilbo", "the app") and the website at pilbo.culacspace.com collect, why, and the choices you have. Pilbo is made by Culac Space ("we", "us"). If you have a question, email support@culacspace.com.

1. Information we store

When you use Pilbo we store the following in Google Firebase (Cloud Firestore), linked to your Pilbo account:

• Medications: name, strength, form, dose, instructions, colour and icon, stock count and refill threshold if you enter them, and status (active, paused, finished).
• Schedules: when each medication should be taken (relative to a meal or at a fixed time), frequency, and start and end dates.
• Dose logs: for each scheduled dose, whether you took, skipped or missed it and when.
• Profile settings: your meal times (breakfast, lunch, dinner, bedtime), language, account creation date, and a count of AI scans used this month.

This information is health-related. We use it only to provide the app's features to you: reminders, history, backup and sync.

2. Your account

Pilbo starts with an anonymous account created by Firebase Authentication. It has a random identifier and no name, email or phone number. Your data is linked to that identifier.

If you choose to sign in with Apple or Google, your anonymous account is linked to that sign-in so you can back up and restore your data on other devices. We receive the account identifier and, depending on what you allow, your name and email address (Apple lets you hide your email). We use these only to sign you in and to contact you about your account if needed.

3. Adding medications with AI (text, voice, photo)

You can add a medication by typing a description, speaking, or taking or choosing a photo of a medicine box or prescription label.

• Voice is converted to text by your phone's speech recognition (provided by Apple or Google under their own privacy terms). Pilbo receives the transcript, not the audio.
• The text, transcript or photo is sent over an encrypted connection to our server (Google Cloud Functions for Firebase) and from there to Anthropic's Claude API, used only to extract medication details such as name, strength, dose and schedule.
• We do not store the photo, text or transcript after processing. Only the medication details you review and confirm are saved. Under Anthropic's commercial terms, API inputs are not used to train its models.

Please avoid photographing information you don't need to, such as your full name or address on a label.

4. Analytics and crash reports

We use Firebase Analytics to understand how the app is used (for example, that onboarding was completed, a medication was added and by which method, or a dose was marked taken) and Firebase Crashlytics to receive crash reports. This includes device and app information (model, operating system, app version, a pseudonymous app-instance identifier, approximate country) and usage events. These events do not include medication names, doses or photos. We use this data only to fix bugs and improve Pilbo.

5. Subscriptions and payments

Premium subscriptions are sold through the Apple App Store or Google Play and managed with RevenueCat. Apple or Google processes the payment. We never see or store your card or payment details. We receive information about your subscription status (for example, active, in trial, expired) and purchase history linked to your app account so we can unlock Premium.

6. What we do not do

• We do not sell or rent your personal data.
• We do not show ads, and we do not share your data with advertisers or data brokers.
• We do not use your health information for marketing.

7. Service providers

We share data only with providers that help us run Pilbo, under contracts that limit their use of it:

We may also disclose information if required by law, or to protect the rights and safety of our users or others. Your data may be processed in countries other than yours, including the United States, with appropriate safeguards such as Standard Contractual Clauses.

8. Security and retention

Data is encrypted in transit and at rest by Google Cloud. Access rules ensure each account can read and write only its own data. We keep your data for as long as your account exists. When you delete your account, your data is deleted from our live database right away; backups held by our providers expire on their normal schedule. Analytics and crash data are kept for the default retention period of those Firebase services.

9. Deleting your account

In the app, go to Settings → Account → Delete account. This permanently deletes your account and all data stored on our servers: medications, schedules, dose logs and settings. If you can't access the app, email support@culacspace.com from the address linked to your Apple or Google sign-in and we will delete it for you. Deleting the app alone does not delete server data for a signed-in account.

Deleting your account does not cancel a subscription. Cancel it in your App Store or Google Play settings.

10. Children

Pilbo is not directed to children under 13 (or the minimum age in your country) and we do not knowingly collect their personal information. A parent or carer may use Pilbo to manage a child's medication on their own device. If you believe a child has given us personal information, contact us and we will delete it.

11. Your rights

Everyone can view and edit their data in the app and delete it at any time.

EEA, UK and Switzerland (GDPR): you have the right to access, correct, delete, restrict or object to processing of your personal data, and to data portability. Our legal bases are performance of our contract with you (to provide the app), your explicit consent for health-related data you enter (which you can withdraw by deleting it), and our legitimate interests for analytics and crash reports. You can complain to your local data protection authority.

California (CCPA/CPRA): you have the right to know what personal information we collect, to delete it, to correct it, and not to be discriminated against for using these rights. We do not sell or share personal information for cross-context behavioural advertising, and we use sensitive personal information only to provide the app.

To use any of these rights, email support@culacspace.com. We may need to confirm the request comes from the account holder. We respond within the time the law requires.

12. Changes to this policy

If we change this policy, we will update the effective date above and, for significant changes, tell you in the app before they take effect.
